Job Description
This role will have dual responsibilities which will be split in half as a part-time Order Entry Clerk and the other half as a Contract Administrator.
Order Entry Administrator Responsibilities:
This position will be managed by the Lead Order Processing Administrator and report directly to the Accounting Manager
Individual will enter different types of orders (prime orders, freebies, exchanges, loaners, evaluation, and credit memos.
Responsible for revising orders based on input from the sales and operations team.
Communicate and follow up via emails with sales, operations and finance on order status
Entering customer orders, making sure orders are entered correctly and all the correct and current information for the account is filled out properly on all orders
Build and run daily reports for management including: backorders, inventory levels, and open orders
Send out Order Acknowledgements to sales reps
Recognize and escalate any critical issues to Lead Order Processing Administrator immediately
Exhibit a professional and courteous demeanor at all times
Individual may perform additional duties as assigned
Contract Administrator Responsibilities
This position will be managed and report to the Director of Professional Services
Responsible for taking data provided by Oracle and generate purchase orders for support contracts in Oracle and deliver to our support labor providers
Individual will navigate Order Management and Purchase Order modules in Oracle
Review automated reporting from Oracle to determine which sales orders have support levels included that will require onsite labor as part of the support offering
Establish the period of performance from the sales order or other documentation
Provide product and customer information to DDN's onsite support labor contractors
Receive the quote back from DDN's onsite support labor contractors
Generate Purchase Requests in Oracle for the specific quote received
Follow up to ensure approvals are received on open Purchase Requests
Ensure purchase orders are sent to DDN's onsite support labor providers in a timely manner
Process Purchase Requisition requests as required from other DDN Global Services organizations
Work any assigned projects per the requirement of that project
Qualifications:
Candidate must have minimum 1-2 years' experience
Requires a high school diploma
Bachelor's degree preferred
Oracle order management systems experience required
Proficient in Microsoft Office programs
Must be resourceful and computer savvy
Strong organizational and administrative skills
Ability to handle multiple projects in an efficient and accurate manner
Must have excellent verbal and written communication and grammatical skills
Must have exceptional phone and email etiquette
Strong Mathematical and Analytical Skills

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
